EXPERIENCED ADMINISTRATIVE ASSISTANT
Minimum 2 years administrative assistant experience with excellent communication, typing, grammar, spelling, organizational skills and attention to detail.

Provide special project support to all departments when required, including:
        calendar management
        schedule and coordinate meetings
        provide customer and vendor assistance
        create and maintain spreadsheets
        maintain accounts payable and receivable records
        office management duties
        receptionist duties
        filing

Must be organized, self directed, dependable, flexible and a team player.
  
Must have excellent experience with Microsoft Word and Excel.
Familiarity with Customer Relationship Management (CRM) systems and an Associate's or Bachelor’s Degree preferred.

EXPERIENCED CUSTOMER SERVICE MANAGER
Minimum 3 years CS Managerial experience in diverse, high-
complexity and a high-volume environment. Prior experience with online/digital products and the InfusionSoft CRM will be given top consideration.

Summary of Position: 
Manage small customer service department with direct overall accountability for CS persons and all related duties associated with diverse customer base made of Real Estate Agents, Real Estate Brokers and MLS Companies.

CS Manager over sight will include the timely and effective order processing, flow, tracking, application delivery and confirmation, including various levels of support to customers. Additional duties include the over sight of the CS reps and their specific duties of:

Receive and respond to all customer inquiries regarding orders, application and complaints, plus process orders and input relative data into the computer (CRM) system, for the MLS EARTHview™ application received by mail, telephone, fax, E-mail or personally from customer by performing the following duties:

  • Answer phones and respond timely to customer requests concerning orders, application and customization.


  • Provide customers with application demo, service, and warranty information. Inform customer of pricing, promotional prices, deliverable date, anticipated delays, and any additional information needed by customer.


  • Make changes to or cancel orders.


  • Transfer customer calls to appropriate staff.


  • Identify, research, and resolve customer issues using the
    computer (CRM) system and fellow staff.


  • Follow-up on customer inquires not immediately resolved.


  • Complete call logs and reports.


  • Research and close any billing issues.


  • Recognize, document and alert the supervisor of trends in
    customer calls.


  • Recommend process improvements.


  • Record and/or file copies of orders received.
    Prepare invoices and agreement documents, such as MLS/IDX Agreements, Pay-By-Check Agreements and Invoices, Broker or Commercial Invoices, etc.


  • Handle all customers, including dissatisfied and irate customers, in a professional manner.


  • Compile statistics and prepare various reports for management, as requested.


  • Answers questions from customers or prospects on how the application operates or direct them to the person that is better able to assist them.


Must have excellent experience with Microsoft Word and Excel.
Must be familiar with Customer Relationship Management (CRM)
systems and be able to input and retrieve data.
